Overview
The Student Clearance Management System (SCMS) is a comprehensive digital solution built to replace the traditional, repetitive, and time-consuming manual clearance process in educational institutions. It supports four user roles: Admin (Principal), Staff (General & Department Head), Finance, and Student.
The platform streamlines clearance approvals across departments, introduces real-time status tracking, and ensures fine-grained access control so that each user only interacts with their relevant data. Built with Next.js, Prisma, MongoDB, and WebSocket, it ensures real-time interactivity, secure single authentication, and high scalability.
Role-Based Access Control
- Admin (Principal): Has full system access and control over all departments, users, and clearance records.
- Staff (General): Can only approve or reject clearance for students in their own department and shift.
- Staff (Department Head): Has clearance approval rights for all students within their department across shifts.
- Finance: Final clearance approver. Can approve via QR code scan, manual clearance ID, or OTP verification.
- Student: Can log in, check real-time clearance status, view pending/rejected departments along with reasons, see requirements for approval, and download the clearance form.

- Secure Single Authentication: A user can only stay logged in on one device at a time; logging in elsewhere will auto-log out previous sessions.

- Downloadable Clearance Form: Students can download their clearance form anytime.
- Shift-Based Staff Restriction: Staff members can only handle students from their assigned shift unless they are department heads.
- Automated Notifications: Instant notifications for approval, rejection, or changes in clearance status.
Privacy & Security
SCMS ensures all clearance-related data is securely stored and only accessible by authorized roles. Single-device authentication, OTP verification, and QR code-based final approval prevent unauthorized access and fraud.
